How delivery works

One workflow, one owner, one weekly review.

Example: sales follow-up. Illustrative sample, not a client result. Your written scope confirms each item for your business.

Workstream

Sales follow-up: quotes and leads that need a next touch, kept moving in your CRM.

Human owner

A named XCAILE assistant owns the queue day to day, with a person at XCAILE accountable for quality.

AI-assisted steps

Drafting follow-ups from your templates, summarizing deal history, flagging stale deals and suggesting next actions. A person checks before anything is sent.

Approval exceptions

Pricing, discounts, quotes and anything outside your approved templates come to you to decide.

Scope and pricing basis

Priced per defined scope. Your price is sent in writing after you share the work. Payment does not depend on sales outcomes.

First review point

End of week one: follow-ups sent on time, stale deals flagged, exceptions you decided, and what to adjust.

Sample weekly output · Illustrative

  • • Follow-up queue worked daily; each open deal has a next step, owner and date in the CRM.
  • • Deals with no reply after two touches listed for your call: keep, pause or close.
  • • Exceptions list: price requests and custom terms waiting on your decision.
  • • One-page summary: what moved, what is stuck, what we recommend changing next week.

Step 1

Which work needs to move?

Pick the closest one. Nothing is sent until you choose to send it.

People, AI and management around one piece of work.

People own the work

A dedicated assistant, specialist or small team runs it inside your tools and is accountable for it every week.

AI does the repetitive steps

Drafting, sorting, summarizing and updating are AI-assisted. A person checks anything that reaches a customer.

XCAILE manages delivery

Role design, onboarding, quality checks, coaching and cover are ours. You keep the approvals written into the scope.

Timing depends on the model: a standard executive or operations AIVA is planned to launch within 7 days of an agreed scope, subject to the access you provide. Specialist and team scopes state their own timing in writing.

Practical buying questions

What would we start with?

One recurring piece of work with a clear definition of done, for example your sales follow-up queue or new-customer onboarding. We scope that first, run it, review it, then decide whether to expand.

How is a managed assistant different from hiring a freelancer?

A freelancer is usually managed by you. With XCAILE, a named person owns the workflow and a person at XCAILE is accountable for quality, cover and weekly review, under a written scope that says what gets done and what comes back to you for approval.

Does a person review AI-assisted work?

Yes. AI helps draft, summarize and flag work; a person checks it before anything reaches a customer. Pricing, discounts, quotes and anything outside your approved templates come to you to decide.

Who manages the person or team?

XCAILE manages the people it provides: role design, onboarding, quality checks, coaching, cover and performance. You keep the business decisions and approvals written into the scope, with one XCAILE point of contact.

Can you work with our existing tools and employees?

Yes. Work runs inside the email, CRM, documents and trackers you already use, alongside your team. You are not asked to migrate systems to start.

How is quality checked?

Each scope lists acceptance checks and an exception queue. A person reviews AI-assisted output before it reaches a customer, and progress is reviewed on an agreed weekly cadence.

What determines the cost?

The function, seniority, language, weekly hours, coverage and how much workflow design is needed. For a single managed AIVA, One dedicated professional owns one defined function. Your price is sent in writing after you share the work. Specialist, fractional team and managed pod scopes are priced in the written scope. Payment is for the managed service, not contingent on a business outcome.

What would we need to provide?

Real examples of the work, the steps you follow today, tool access, weekly volume, your approval rules and one person on your side who can say what done looks like.

How could we expand if the first scope works?

Add a second workflow to the same person, add a specialist, or move to a fractional team or managed pod. Each step is a new written scope, so you only expand what has already worked.
